Job Description

We are seeking a professional and welcoming Receptionist to join our Pre-owned Vehicle Department. The ideal candidate will be the first point of contact for our customers, providing exceptional service and support. This role involves managing front desk activities, including answering calls, greeting clients, and facilitating smooth communication between customers and our sales team. The Receptionist will play a key role in maintaining a positive and friendly environment, ensuring customer satisfaction and efficient operation of the department.

Key Responsibilities:

  • Greet and welcome guests as soon as they arrive at the department, ensuring a positive first impression.
  • Answer, screen, and forward incoming phone calls, providing accurate information and taking messages as required.
  • Assist customers by answering questions related to pre-owned vehicles, services offered, and appointment scheduling.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Perform administrative duties such as filing, photocopying, transcribing, and faxing.
  • Handle customer complaints and concerns, directing them to the appropriate staff for resolution.
  • Keep the reception area tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
  • Update calendars and schedule meetings/appointments for the sales team, if required.
  • Process transactions and handle financial information with confidentiality.
  • Collaborate with the sales team to identify customer needs and support sales activities.
  • Contribute to team effort by accomplishing related results as needed.

Skills

Qualifications:

  • High school diploma or equivalent; further education in administration or relevant field is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
